Aquin Services privacy information
Updated October 25, 2026
This notice covers Aquin Services website inquiries, Tai AI chat, Facebook and Instagram lead forms, Google Calendar appointment bookings, and our WhatsApp business contact. Insurance assistance is through Aquin Financial Services LLC. Mortgage services are through Global Trust Finance LLC.
Information we receive and why
Website inquiries include the contact details, state, service interest, callback preferences, message and contact permission you submit, plus available campaign labels. We store them to respond, manage follow-up and understand inquiry sources. Authorized staff can review inquiry records. Our email provider delivers staff alerts linking to our private inbox; the alert excludes your contact details. Workspace inquiry records also keep the staff-alert processing result and its recorded time so authorized staff can identify requests needing attention. Provider acceptance does not confirm inbox receipt; rejected, unconfigured and uncertain results remain distinct. Earlier inquiry records may have no stored alert outcome. An alert failure does not remove the saved inquiry or automatically resend it.
Our hosting and security services process technical request information, such as IP addresses and browser information, to operate and protect the website. Optional Google Analytics measures public visits and selected button and inquiry events, including clicks to call, HealthSherpa, WhatsApp and our office booking page, only with analytics permission. A click does not confirm a completed call, conversation, enrollment or appointment booking. We do not send names, email addresses, phone numbers or message contents to Analytics. Use Analytics preferences to change your choice.
Tai website AI chat
Tai is an AI assistant, not a person. Messages and recent conversation context are sent through our website to OpenAI to generate replies. We do not save a chat transcript in our inquiry database. Our API requests disable response storage, but our AI provider may process or retain information under its own service and security policies. Technical usage counters help limit abuse.
Chat does not submit an inquiry, access customer records, issue a quote, enroll coverage or book an appointment. Use our callback form or call for human assistance. Do not send Social Security numbers, financial account numbers, medical records, tax documents, identification documents or other sensitive information in chat.
Facebook and Instagram leads
When you submit our Meta lead form, we receive the contact information, answers and contact permission you provide, along with available form and campaign information. Meta stores these submissions, and authorized people access them through Meta business tools. They are separate from this website inbox. For the connected auto-insurance lead form, Meta also copies submissions to a restricted agency Google Sheets file so we can respond and manage follow-up. An agency-owned Google Apps Script checks that sheet and sends an alert to our agency inbox containing a lead reference and private sheet link; that alert does not include the customer name, email address or phone number. These copies and alerts serve the same inquiry-handling purpose, not automatic marketing. Meta and Google process information under their own privacy policies.
Google Calendar appointments
Our office booking button opens a separate Google Calendar booking page. Google collects the first name, last name, email address and phone number you enter, together with your selected appointment time. Aquin receives the booking details in its calendar, and Google sends booking and cancellation messages. Appointment records are separate from our website inquiry inbox. A callback form submission does not reserve a calendar appointment.
Use the controls in your booking confirmation to cancel an appointment, or contact Aquin for help. Canceling frees the appointment time but does not necessarily delete related calendar or email records. Google handles booking information under its own privacy policy. Do not enter sensitive documents or account details in booking fields.
WhatsApp and the Aquin Services Tai app
If you contact our business on WhatsApp, Meta/WhatsApp and our business may process your phone number, profile name, messages, delivery information and other information you choose to share so we can respond. WhatsApp is a separate service governed by its own terms and privacy practices. Do not send sensitive documents through an initial WhatsApp inquiry.
Tai can provide automated AI replies to WhatsApp text questions. When replies are enabled, the current text message is sent to OpenAI to generate an answer. We do not send your WhatsApp phone number or profile name to OpenAI with that request, and we do not save conversation transcripts in our website database. Each message is handled independently. If you explicitly request English, Haitian Creole, Spanish or French replies, we retain that language code with a hashed sender reference so later replies can use your choice. We do not store the text of that request. Tai does not remember earlier conversation content or process attachments or voice notes. Our AI requests disable response storage, but OpenAI may process or retain information under its own service and security policies. Meta/WhatsApp processes messages and delivery information under its own policies.
We keep hashed sender and message references, provider message identifiers, processing status and delivery metadata to prevent duplicate replies, limit abuse and investigate delivery. Receipt records older than 30 days are removed during enabled message processing. AI pause and selected reply-language preferences remain until you change them or request deletion. Send STOP to pause AI replies and START to resume. When you explicitly request a person, we save your WhatsApp number, a generic human-assistance request, the request time and contact permission, and staff-alert status in our private inquiry inbox. We do not save the message text or conversation transcript. Our email provider submits a staff alert containing a private inbox link and reference, without your WhatsApp number. This is for responding to your request, not marketing. Repeated requests may be grouped and limits apply. AI replies pause, but this is not a live transfer or confirmed callback time. If an alert cannot be confirmed, the request remains saved; call 954-548-6041 or use our callback form if you need assistance. Sending STOP by itself only pauses AI replies and does not create a follow-up request. Tai cannot issue quotes, enroll coverage or confirm appointments.
Marketing email preferences
Where you separately choose to receive workspace marketing emails, an unsubscribe link lets you save an opt-out without signing in. We keep the email address, business workspace reference and preference date so future audience checks respect that choice, even if you submit another inquiry. We keep a protected link reference to recognize the request. Opening a link alone does not save an opt-out; use its unsubscribe button. Customer campaign delivery is not currently active. The prepared manual-email workflow checks recorded permission and opt-outs before provider submission. If activated, we retain the recipient address, message snapshot, attempt time and provider acceptance or error result so authorized staff can review follow-up. Generated preference-link tokens are kept out of those message snapshots. Staff can request a delivery-status check for a specific attempt. We retain the provider message reference, reported delivery event, check time and any verified reconciliation. Provider acceptance does not confirm delivery; a delivered event means acceptance by the recipient mail server, not inbox placement or a human read. Reported bounces, spam complaints, delivery failures and suppression create a separate delivery block on further workspace marketing to that address. Reviewed seven-message sequence plans retain the chosen recipient, draft revision, planned dates and job states. They are saved paused; automatic sending and a background timer are not currently active. Staff can pause or cancel queued work, but a message already submitted to the provider cannot be recalled. Saving a workspace inquiry pauses its active marketing sequences for that email in that workspace; it does not recall an email already submitted to the provider. Incoming replies are not automatically synchronized into sequence plans. An authenticated delivery-event receiver is prepared for provider connection. It retains matched event references, reported event types, occurrence/receipt times and a protected payload hash to prevent duplicate processing, without saving the raw event payload. A separate timestamp-only health record distinguishes an authenticated request from a matched customer update. The provider connection is not currently configured. Internal staff alerts and requested service communications are separate.
Contact info@aquinservices.com or call 954-548-6041 for help with other email or contact preferences. An opt-out does not delete your inquiry or cancel an appointment.
Sharing, choices and retention
We use service providers for hosting, email, lead storage and alerts, appointment scheduling, AI responses and optional analytics, as described above, and authorized service professionals as needed to handle your request. External services such as HealthSherpa handle information you submit directly to them under their own policies. We do not sell information collected through these inquiry forms. An inquiry does not authorize insurance enrollment or automated marketing calls or texts.
Authorized staff may save a follow-up status, contact attempts and next-step notes in the private inquiry inbox to respond to your request. These notes are not automatic messages or appointment confirmations. We retain inquiry and follow-up records as needed to handle the request and meet applicable business or legal obligations. Retention differs by record and service. Service providers may retain their own records under their policies. Contact us about a specific record or to end follow-up. We restrict private inbox access, but no online channel can guarantee absolute security.
Request access, correction or data deletion
- Email info@aquinservices.com with the subject “Data deletion request,” or call 954-548-6041.
- Tell us which service you used: website inquiry, Tai chat, Facebook/Instagram lead form, Google Calendar booking or WhatsApp. Include the email address or phone number used and an approximate date so we can locate the record. Do not send passwords, account numbers or identification documents.
- Our team will review the request, verify identity where necessary, and respond about the records we can delete or correct. Some records may need to be retained for applicable legal or business obligations; we will explain any limits that apply.
This is a human-reviewed request process, not automatic deletion. Deleting a conversation from your device or removing an app does not necessarily delete business-held records. We cannot delete information held independently by Meta, WhatsApp, OpenAI or other providers; use their privacy tools or contact them for those records.
